Having the right documents ready before you apply for a used car loan saves time and speeds up your approval. Nothing is worse than finding the perfect vehicle, submitting your application, and then scrambling for paperwork. Here's a complete checklist of what you'll need, organized by situation, so you can gather everything in advance.
Document Checklist for Salaried / Hourly Employees
If you're employed by a company and receive regular pay cheques, here's what to prepare:
- Government-issued photo ID: Ontario driver's licence (front and back), Canadian passport, or permanent resident card. Make sure it's not expired.
- Last 3 pay stubs: These should be recent (within the last 45 days) and show your name, employer name, pay period, gross and net pay, and year-to-date earnings.
- Proof of address: A utility bill (hydro, gas, internet), bank statement, or government letter dated within the last 90 days showing your current Ontario address. Your driver's licence works too if the address is current.
- Void cheque or direct deposit form: Lenders need this to set up automatic payments. If you don't have cheques, your bank can provide a direct deposit form with your account and routing numbers.
- Job letter (sometimes): Not always required, but some lenders ask for a letter from your employer confirming your position, start date, and salary. This is more common for subprime applications.
Additional Documents for Self-Employed Applicants
Self-employed applicants need more documentation because their income is less predictable from a lender's perspective. In addition to ID, proof of address, and a void cheque, prepare:
- Last 2 years of T1 General tax returns: Filed with CRA, showing your line 15000 (total income). This is the primary document lenders use to verify self-employed income.
- CRA Notice of Assessment: For the last 1–2 years. This confirms the income you reported and that you're in good standing with CRA.
- Last 3–6 months of business bank statements: Showing regular revenue deposits. This helps lenders see current income flow, not just historical tax data.
- Business licence or registration (if applicable): Master business licence, articles of incorporation, or HST registration number.
Self-employed financing is very doable, but the paperwork takes longer to process. Start gathering these documents early.
Documents for Pension, Disability, or Government Income
If your income comes from CPP, OAS, ODSP, private pension, or other government benefits:
- Benefit statement or award letter: A document from the government or pension provider showing your monthly benefit amount.
- Last 3 months of bank statements: Showing the regular deposit of your benefits.
- Standard ID and proof of address: Same as above.
Documents for New Canadians
If you're a permanent resident or new to Canada with limited credit history:
- Permanent resident card or valid work permit
- Proof of employment and income (same as salaried employees above)
- Canadian bank statements (last 3 months)
- SIN card or confirmation of SIN (some lenders request this)
Tips for a Smooth Application
- Take clear photos or scans. If you're applying online, make sure documents are legible. Blurry pay stubs slow things down.
- Use current documents. Pay stubs older than 45 days and bank statements older than 90 days may be rejected.
- Be consistent. The name and address on your ID should match your pay stubs and utility bills. If you've recently moved, update your driver's licence first.
- Have your down payment ready. Some lenders want proof of down payment funds — a bank statement showing the balance is enough.
- Don't wait to be asked. The more documentation you provide upfront, the faster your approval process.
